Supplier

The invoice arrived. It's wrong.

Wrong name, personal address, missing VAT number, foreign VAT: it spots it and prepares the correction request. You click, it goes.

What happens

An invoice in the director's name instead of the company's. An address that isn't the registered office. Belgian or French VAT on an online purchase. Nobody notices before the accountant, months later, when it's too late to fix.

What it does in this case

  1. It checks on arrival

Name, registered-office address, VAT number, rate, reverse-charge mention. The check happens the day the invoice arrives.

  2. It prepares the request

A short e-mail to the supplier, with the exact details to correct. As a draft.

  3. It tracks the reply

Corrected invoice received: attached, the old one archived. No reply: follow-up at D+7.

  4. It tells you when it's lost

Some suppliers refuse. It tells you, so you and your accountant can decide.

What an invoice must show

  • For VAT, according to the Administration de l'enregistrement: issue date; a unique sequential number; the supplier's VAT number; full name and address of supplier and client; date of supply if different; quantity and nature of goods or services; price excluding VAT; VAT rate and amount, broken down by rate; the reason when the transaction is not taxed.
  • In addition, for a supplier established in Luxembourg, according to guichet.lu: its name, legal form and registered office, its RCS number, its business permit number.
  • Up to €100 including VAT, with no other Member State involved, a simplified invoice is enough: date, supplier's name and address, nature of goods or services, price including VAT, VAT amount or what is needed to compute it.
  • What you can deduct on an incomplete invoice or one with foreign VAT depends on your situation: check with your accountant. The site gives no tax advice.

Questions

Does it write to the supplier for me?
It drafts the e-mail. You read it and send it. If you enable send mode, it can send it itself, with a copy to you.
Does it know the right details?
Yours are set at setup: company name, registered-office address, VAT number. It compares each invoice to them.
What about online purchases abroad?
It flags foreign VAT and prepares the re-issue request when possible. What happens next is decided with your accountant.
